Sound Familiar?

The same month, in home care offices all over Colorado.

The Files Live on One Desk

A database on the office computer, or a shelf of binders. When a case manager calls and you are not at that machine, the answer waits until you are.

Hand-Math on Every Card

Working out per-day minutes by hand, client by client, every month. A few minutes off on the card is a few minutes off on the claim.

Credentials You Have to Remember

Which TB test lapses this month, which evaluation is overdue, whose file is still missing a signature. Nothing tells you until someone asks for it.

Ordered the Way Your Month Runs

Every day, every month, billing month — and from wherever you happen to be.

Every Day

Client and caregiver files that stay current as the day happens — allergies, authorizations, case managers, the communication log — with one page that shows what needs you this morning.

Every Month

Time and Services Cards with the per-day minutes worked out for you, printed the way your caregivers already sign them. Care plans, supervisory visits and Monthly Client Reports come off the same records.

Billing Month

Billing week becomes an afternoon. Claims are checked for the eligibility and modifier errors that cause most denials before anything is sent, then tracked until you can see what got paid.

From Anywhere

A desktop database lives on one desk. This opens on the office computer, the laptop at home, or a phone at a client's kitchen table — the same records, the same day.

What's Inside

Built for Colorado home care, in the words your agency already uses.

Client Files

Allergies, certifications, authorizations, case manager contacts and the communication log, all on one client page.

Caregiver Files

Credentials, training, vaccinations, evaluations and pay rates — with whatever expires next kept in front of you.

Care Plans & Supervisory Visits

Write the plan, record the visit, print the form that goes in the binder — signatures and all.

Time and Services Cards

Per-day minutes worked out for you and printed the way your caregivers already sign them.

Claims, Checked First

Eligibility, modifiers and units are checked before anything goes to Colorado Medicaid — the errors that cause most denials, caught while they are still cheap to fix.

See What Got Paid

Payments post against your claims as they arrive, and anything denied is called out with the reason.

How Billing Works

Three steps, and no portal logins.

1

Bring the Month In

Upload the file your current system already produces, or keep the records here as the month goes. Either way, nobody retypes anything.

2

We Check, Then Send

Every claim is checked for the errors that cause denials, then submitted to Colorado Medicaid on your behalf.

3

See What Got Paid

Payments post against your claims as they arrive. Denials are called out with the reason, so you know what to fix.

Simple, Transparent Pricing

Every feature is on every plan. You are only choosing how many active clients you carry — caregivers are never counted, and a client you have not billed in a year stops counting.

Frequently Asked Questions

Is this only for Colorado Medicaid?
Yes. Home Care Billing is built for Colorado home care agencies billing Medicaid through HCPF (Department of Health Care Policy and Financing). We know Colorado's rules — PARs, CFC, the modifier changes — and we submit directly on your behalf.
How do I authorize you to submit claims on my behalf?

Before we can submit claims to Colorado Medicaid, you need to add our Trading Partner ID (TPID) to your Provider Web Portal account. This is a one-time setup that authorizes us to submit claims and receive payment information on your behalf.

View HCPF instructions
What file formats do you accept?

We accept CSV files with a header row followed by one row per claim. You don't need to rename your columns — our upload wizard lets you map any of your column names to the required fields.

Required Fields (15):

member_id patient_first_name patient_last_name patient_address patient_city patient_state patient_zip patient_dob patient_gender service_date_from service_date_to place_of_service procedure_code charge_amount units

After signing up, you'll have access to our detailed format guide with examples, optional fields, and a downloadable template.

How long does it take to get started?
Your NPI and Tax ID are enough to start, and that takes minutes. Bringing an existing caseload over — clients, caregivers, authorizations — is the longer part, which is why the demo runs two months and we will help you do it.
Is my data secure?
Yes. We are HIPAA-compliant, with data encrypted at rest and in transit, and every look at a client record is logged. Your client data is held to the same standards used by healthcare organizations nationwide.
How do I know what actually got paid?
When Colorado Medicaid pays, the remittance — the 835 your billing staff may know by that name — comes back to us and we post it against your claims for you, with no matching line by line. You see what was paid, what was denied and the reason, and what was taken back on a later remittance.
Do I have to give up my spreadsheets?
No. The CFC Calculator is a state-issued Excel file and we read it as it comes — including a photograph of a printed one. If your current system produces a monthly file, upload that. Nothing here asks you to abandon a tool the state hands you.
How long do I get to try it?
There are two ways in, and they are different lengths. A demo account runs for two months with no card — that is deliberate, because moving an agency's records over is a month's work, not an afternoon's, and a week-long trial only ever shows you sample data. Signing straight up for a plan instead starts a 30-day free trial of that plan. Most agencies want the demo first.
